The Workers' Compensation Claims Assistant reports to the Lead Workers' Compensation Specialist and is responsible for managing assigned work-related injury cases and the Return-to-Work program, administering Occupational Leaves and ADA Accommodations, and provides administrative and reporting support to the Risk & Safety department.

Pay: $25 - $30 / Hour

DUTIES AND RESPONSIBILITIES

  1. Manage assigned work-related injury cases

    1. Collection of all legally and internally required injury reporting paperwork.

    2. Initial and ongoing investigation of each reported claim.

    3. Creation, maintenance, and auditing of claims files.

    4. Data entry into HR Systems; reporting data to insurance carrier(s).

    5. Completion of wage statements & job analyses.

    6. Physician certification, work status, and claim progress tracking and monitoring.

    7. Issue housing letters and other communications as required.

    8. Attend claims reviews and required trainings.

    9. Attend claim depositions.

    10. Conduct interviews with potential witnesses and claimant.

    11. Analyze claims for potential safety violations.

    12. Make disciplinary action recommendations or escalate safety violations to the Lead Workers' Compensation Specialist/Risk & Safety Manager.

    13. Collaborate with Lead Workers' Compensation Specialist/Risk & Safety Manager and Safety Specialist regarding program or policy changes.

    14. Actively monitor legal proceedings and progress for litigated claims.

    15. Collaborate with and/or escalate S&W & 132a filings to the Litigation team.

    16. Collaborate with and/or escalate allegations of discrimination, harassment, and retaliation to the Lead Workers' Compensation Specialist and/or Employee Relations Specialist and Litigation team as circumstances dictate.

  2. Manage Return to Work Program

    1. Guide employees through the interactive process pertaining to occupational injury accommodations.

    2. Track temporary and permanent modified duty accommodation documentation.

    3. Manage the Stay at Work Program for WA injured workers.

    4. Evaluate and prepare Modified Duty Job offers for permanent and temporary modified duty accommodation(s) related to occupational injuries.

  3. Occupational Leave Administration and ADA Accommodations

    1. Manage workers’ compensation leaves & ADA accommodations.

    2. Attend, actively participate in, and lead ADA good faith interactive meetings for workers’ compensation leave/accommodation employees independently or in collaboration with the Lead Workers' Compensation Specialist.

    3. Review/analyze Work Status restrictions for potential accommodations.

    4. Prepare and process employee separations.

    5. Perform other duties as assigned.

  4. OSHA 300 Logs & Annual Distribution

    1. Maintain case information for each reported injury/illness.

    2. Conduct end-of-year establishment audit for active/inactive work locations.

    3. Conduct end-of-year case audit.

  5. Reporting

    1. Maintain Weekly Claim Metrics.

    2. Prepare and provide other reports as requested by the Lead Workers' Compensation Specialist/Risk & Safety Manager, or as required for projects related to FPI’s broker/carrier relationship.

    3. Maintain proficiency in running reports in UKG in order to provide specific information to FPI’s workers’ compensation carrier or other agencies as requested (ex: wage statements).

  6. Clerical Support

    1. Demonstrate strong verbal and written communication skills for appropriate business communication .

    2. Respond to workers’ compensation-related Subpoena for Records.

    3. Mail correspondence by USPS and FedEx for claim processes/leave management as required.

    4. File claim documents within the digital claim files.

    5. Maintain document retention file for closed claims.

  7. Other

    1. Consistently and fairly enforce rules and regulations, FPI Standard Operating Procedures.

    2. Comply with all Laws and FPI policies and procedures.

    3. Promote a professional image by adhering to FPI Management's Dress Code Policy.

    4. Conduct displayed must be of a professional manner when communicating with employees, residents, prospective residents, clients, vendors, and guests while representing FPI Management.

    5. Responsible for meeting all training requirements for the position (Grace Hill, Safety Meetings, etc.).

Perform any and all functions as directed by the supervisor, including special project assistance.
